The School of Professional and Continuing Education (SPCE) runs 16 Learning Centers (LC) across Central Asia and Afghanistan. The SPCE is looking for Assistant, who will support the Director in planning and monitoring progress and assisting in developing and implementing plans and goals. The Assistant will be working with the Director to coordinate and supervise daily operations and help the School to attain objectives of productivity, employee and learner satisfaction, enhance productivity and ensure compliance with regulations and policies.

Main Duties and Responsibilities

  • Work with the Director to coordinate and supervise daily operations, to monitor attainment of objectives;
  • Assist in developing and implementing plans and goals for the school;
  • Ensure compliance with regulations and internal policies;
  • Assist in monitoring of expenses;
  • Coordinate and maintain the scheduling of events;
  • Represent the school when it is needed;
  • Research, compile, assimilate, and prepare documents as relevant and when requested for signature;
  • Support development and maintenance of the school calendar and schedule;
  • Read and screen incoming correspondence, media and reports; 
  • Execute preliminary assessments of the importance of materials;
  • Organize and prioritize documents and share with the relevant parties across the centres;
  • Maintain liaison functions with administrative, HR, IT, Finance departments and office personnel;
  • Arrange and coordinate all meetings (live and online);
  • Compile and maintain records, statistical information, and reports for the Director;
  • Establish and maintain various filing and records management systems; 
  • Make travel arrangements, prepare itineraries and maintain travel vouchers and records;
  • Assist with public relations;
  • Prepare and distribute meeting packages on time;
  • Serve as liaison for SPCE Academic Committee, officials, consultants, auditors, media, parents, community members and others;
  • Prepare independently and/or transcribe correspondence consisting of letters, memoranda, reports, meeting minutes and a variety of other subject matter;
  • Draft briefs and minutes, follow-up with any correspondence and mailing of materials/letters/memos and/or make sure it is taken care of promptly;
  • Fulfil other duties as assigned by the Director.

Required Qualifications and Experience

  • An undergraduate degree in a related area;
  • Experience in a similar role will be an advantage;
  • Strong attention to detail and ability to multi-task with timeframes;
  • Strong verbal and writing communication, public speaking and interpersonal skills;
  • Aptitude to problem solving;
  • Ability to work with sensitivity in various cultural contexts;
  • Advanced technical and computer skills;     
  • Critical thinker, ready to solve problems before they become obstacles.
  • Fluency in spoken and written English and Russian;
  • Knowledge of Tajik, Kyrgyz or Kazakh will be an asset.
